Your clients’ data stays in your systems.
Nothing is copied out of your business. Every account is in your name, I take the narrowest access the build needs, and no message reaches a client until you have approved the wording.
Every account is yours
The email, the calendar, the booking system, the accounts software: all of it stays in your name, on your billing details, with you holding the login from the first day. Where the build needs a new account, it is opened in your business’s name, not mine. I work inside your systems the way a bookkeeper does.
Removing my access takes you about a minute and cuts my view off immediately. Nothing has to be handed back, because nothing was ever mine.
What I can see
Only the systems you connect, and only the parts the build uses.
- The mailbox the automation reads from.
- Calendars, booking systems and appointment records.
- The specific fields the build needs from your case management, practice management or accounts software.
If a job only needs to read one folder, it gets one folder.
What I never see
- Anything in a system you have not connected. There is no general link to your business, only the specific ones we agree.
- Your banking. It is never needed and I will not ask for it.
- Anything at all once you have removed my access.
Nothing reaches a client until you have approved it
You read and sign off every message the system can send before it goes live. It writes in your words, on wording you have approved, and anything outside that stops and comes to a person rather than improvising. You find out before your client does.
Your data is never sold or passed on
It is not sold, rented, shared with anybody else for their own purposes, or used to advertise to you or to your clients. It is used to run your automation, and that is all.
Where a provider I connect to offers a setting that keeps your data out of their own model training, that setting is turned on before the first live run, and you get the list of providers in your build in writing.
Where it runs
On established business software, on servers in the UK or the European Economic Area wherever the provider offers it.
UK GDPR
Your business is the data controller and I am the processor. I will sign a data processing agreement, and for most clients I would expect to. Send me the wording your regulator, your insurer or your professional body wants and I will work to it.
Registration with the Information Commissioner's Office is in progress and the number will be published here.
If there is a breach
You hear from me within 24 hours, with what I know at the time. Reporting it to the Information Commissioner’s Office is your decision as the controller, and I will give you what you need to make it.
